Project Coordinator and Document Controller

**Role overview** Run document control and coordination routines for a large industrial complex development. Keep local approval records, drawings, correspondence and project evidence traceable; support reporting and the external permitting specialist. Help the international team understand which records and formats are needed for Brazilian reviews and handover. **Key responsibilities** • Operate the project document\-management system, registers, naming rules, revision control, transmittals and approval workflows. • Receive, distribute and track drawings, specifications, technical queries, meeting minutes, change records and contractor submissions. • Check that teams are working from the current approved revisions and follow up overdue reviews and responses. • Maintain action, decision, correspondence and submission logs for the Project Director and delivery team. • Compile source information for progress reports and management meetings in Portuguese and English. • Organize permit records and track authority comments, conditions, deadlines and evidence of closure with the external specialist. • Collect inspection evidence, test records, certificates, redlines, as\-built drawings and turnover packages from responsible parties. • Check document completeness and traceability and raise missing or inconsistent records for technical review. • Apply agreed confidentiality, access and retention rules to project information. • Prepare a structured final archive and support formal transfer of records to the client. **Required qualifications** • Technical qualification or degree in engineering support, construction administration, information management or a related field. • Approximately 4 years or more in document control or project coordination for engineering or construction projects. • Experience with drawings, revisions, transmittals, registers and electronic systems used on Brazilian construction projects. • Strong organization, follow\-through and attention to document status and deadlines. • Professional fluency in Portuguese and English, including routine project correspondence. • Ability to work regularly at the project site in Espírito Santo. **Preferred qualifications** • Experience with industrial construction closeout, as\-built packages or permitting documentation. • Experience with Aconex, Autodesk Construction Cloud, Procore, SharePoint or a comparable system. • Experience coordinating records across multiple contractors and design organizations.
